Setup Gmail Forwarding – Aiva

Here is a quick step-by-step video guide for this setup:

In order to automatically forward your lead emails to Aiva from your Gmail account, you need to first add and verify your @aivamail.com email address as an approved forwarding email address to Gmail.

First, let's copy your unique account @aivamail.com address. You can find this by navigating to your Aiva dashboard under the Settings tab and copying the email address that ends with @aivamail.com (you can also click on this link to head over to the settings page):

Next, in a new tab, head over to your Gmail account. On the top right corner, click on the icon shaped like a gear, and then click on Settings:

Then, select the Forwarding and POP/IMAP tab on the top and then click on the Add a forwarding address button:

A dialog should pop up, now enter your unique Aiva email address in the box that pops up and click Next then click on the Proceed to confirm:

At this point, Gmail might ask you for a confirmation code to verify your @aivamail.com email address. Please note that you may NOT be required to verify your new email address -- if Gmail does not prompt you for an code, you're all done at this point!

If you do need a confirmation code, in a few minutes, you'll receive a forwarded email from us with the confirmation code you need for Gmail. Note that this can take up to 1 hour in some cases, if you're having trouble with this step please contact our support team via email:

The confirmation code should be in the email that you just received, go ahead and copy it:

Next, on the top right corner, click on the icon shaped like a gear again, and then click on Settings, then select the Forwarding and POP/IMAP tab on the top and now paste your confirmation code in the box next to the label that says Verify your-email-here@aivamail.com and click Verify.

IMPORTANT NOTE: Please make sure that you are NOT forwarding all your emails to your @aivamail.com address, you can check if you are by scrolling up and ensuring that Disable forwarding is selected.

Next, you'll probably want to send in some leads to Aiva! Go ahead and find a type of lead email in Gmail you'd like to forward to Aiva and click on it

Setting up forwarding filters

Now that you have confirmed your @ aivamail.com email with Gmail, we can setup forwarding rules for your lead emails.

Now find a type of lead email in Gmail you'd like to forward to Aiva and click on it

Click on the "More" button above the email, and click on "Filter messages like this"

You'll see a box pop up to help you with customizing the filter, go ahead and edit it so you only forward incoming leads to Aiva and click on "Create filter with this search" on the bottom right of the box

Now make sure to check on the "Forward it to" checkbox and select your @aivamail.com email address, then click "Create filter"

Congrats! You've now setup auto-forwarding of your incoming lead emails to Aiva. You can repeat Step 2 for other types of lead emails you get (realtor.com® | Homes for Sale, Apartments & Houses for Rent , Zillow, etc.)
